Privacy Policy

This policy explains what information Slate Pool Services, LLC ("Slate", "we", "us") collects when you use slatepoolservices.com, the Slate application at app.slatepoolservices.com, and Slate Water Quality Monitoring devices (together, the "Service"), how we use it, and the choices you have.

1. Who we are

Slate is a software platform and remote water-quality monitoring system used by pool service companies and the properties they serve. We are based in Austin, Texas. Slate is the controller of the account and billing information described below. For property and service records, the pool service company or property owner that enters the data decides how it is used; Slate processes it to provide the Service.

2. Information we collect

Information you give us.

  • Account details: name, email address, phone number, company name, role, and a password (stored only as a cryptographic hash).
  • Property and pool details: property names and addresses, pool names, equipment and chemistry settings, and the people associated with each property.
  • Service records: routes, visit logs, chemical readings entered by technicians, service requests and tickets, estimates and approvals, and photos uploaded as evidence of work performed.
  • Contact form submissions: name, company, email, phone, city or ZIP code, number of pools, and your message.
  • Billing details: your subscription plan and status. Card and bank details are collected directly by Stripe, our payment processor; Slate never receives or stores full card numbers.

Information from monitoring devices. Slate devices installed at a pool report water-chemistry readings (ORP and pH), timestamps, device serial numbers, and connectivity details such as the cellular SIM identifier and signal information. Devices do not record audio or video and do not collect personal information about people at the property.

Information collected automatically. Like most web services we receive technical data when you use the Service: IP address, browser and device type, pages viewed, and timestamps, recorded in server logs. We use a session cookie to keep you signed in. We do not use advertising cookies or third-party analytics trackers.

3. How we use information

  • To provide and operate the Service: routes, tickets, monitoring, alerts, compliance records, and payments.
  • To send transactional messages such as sign-in links, password resets, chemistry alerts, trial and billing notices, and replies to your inquiries.
  • To bill subscriptions and, for pool service companies that enable it, to facilitate payments from their customers through Stripe.
  • To keep the Service secure, prevent abuse, and troubleshoot devices and connectivity.
  • To improve the Service, using aggregated or de-identified information where practical.
  • To comply with law and enforce our Terms of Service.

We do not sell personal information and we do not use it for third-party advertising.

4. How information is shared

Within your organization and with the parties you work with. Slate is a multi-party platform. Information you enter is visible to the other members of your organization according to their role, and to the pool service company or property you are connected with — for example, a property manager can see the service tickets, visit logs, photos, and monitoring readings for their own properties, and a pool service company can see the properties it services.

Public compliance pages. Each monitored property can have a public compliance page reached by QR code, intended for health inspectors. It shows the property name, recent water-quality readings, and compliance status. It does not show personal contact details. Treat the QR link as public.

Service providers. We use trusted vendors to run the Service and share only what each needs:

  • Vercel — web hosting and edge delivery.
  • Supabase — database, file storage, and authentication.
  • Stripe — subscription billing, payment processing, and Stripe Connect accounts for pool service companies.
  • Resend — transactional email delivery.
  • Hologram — cellular connectivity for monitoring devices.
  • HiveMQ and Railway — receiving and processing device telemetry.

Legal and safety. We may disclose information when required by law, to protect the rights and safety of Slate, our users, or the public, or as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply.

5. Payments and Stripe

Payments are processed by Stripe, Inc. When you subscribe, Stripe collects your payment details under its own privacy policy. Pool service companies that choose to collect payments through Slate open a Stripe Connect account; Stripe collects the identity, tax, and bank information needed to verify that account directly, and Slate receives only account status and transaction records.

6. Retention

We keep account information while your account is active and for a reasonable period afterward to handle billing, disputes, and legal obligations. Service and compliance records are kept for as long as your organization keeps them in the Service; pool operators are often required by state health rules to retain water-quality records, so we do not automatically purge them. Device readings are retained to provide history and trend reports. You can ask us to delete your account data; see section 8.

7. Security

Data is encrypted in transit (TLS) and at rest by our hosting providers. Access within the Service is controlled by role and organization, enforced at the database level. Device connections to our telemetry broker use per-device credentials over TLS. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as required by law.

8. Your choices and rights

  • You can review and update most account and property information inside the Service.
  • You can ask us to access, correct, export, or delete the personal information we hold about you. Depending on where you live, you may have additional rights under laws such as the Texas Data Privacy and Security Act; we honor those requests regardless of location where we reasonably can.
  • Transactional emails (alerts, billing, security) are part of the Service and continue while your account is active. We do not send marketing email without your consent.
  • Deleting your account may require the pool service company or property that owns the records to approve, because service and compliance records belong to that organization.

9. Children

The Service is for businesses and property operators and is not directed to anyone under 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy as the Service changes. We will post the new version here with a new effective date and, for material changes, notify account holders by email or in the app.
